Who we share it with
We only share information with the service providers that help us run the business, under contracts that require them to protect it:
- Microsoft, for email, Teams meetings, Bookings and file storage (Microsoft 365).
- Our website hosting provider, which stores the website and its server logs.
- Google, which serves the fonts used on this site. Your browser connects to Google's servers to load them, which shares your IP address with Google.
- Our accountants, for bookkeeping and tax.
We may also disclose information if the law requires it.
International transfers
Some of our providers, including Microsoft and Google, may process data outside the UK. Where they do, the transfer is protected by the UK's adequacy regulations (for example, for the EU and for US companies certified under the UK Extension to the EU-US Data Privacy Framework) or by the ICO's approved International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries and kickoff bookings that don't lead to work: up to 2 years after our last contact, then deleted.
- Client records and contracts: 6 years after the work ends, in line with UK limitation periods.
- Accounting records: 6 years from the end of the financial year they relate to, as HMRC requires.
- Server logs: kept by our host for a short period, normally no more than 90 days.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything that's wrong;
- ask us to delete your information;
- object to, or ask us to restrict, how we use it, including objecting to any marketing at any time;
- ask us to transfer information you gave us to another organisation.
To use any of these rights, email Info@pbcp.co.uk. It's free, and we'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Keeping it secure
Your information is stored in Microsoft 365 with multi-factor authentication, and access is limited to the two company directors. The website runs over an encrypted (HTTPS) connection.
